SafeSend Gather FAQ
Do I need to sign an engagement letter again this year?
Yes, we require a new signed engagement letter each year for each entity.
Can I start the organizer and come back to it later?
Yes! To save your work, click the “Save & Close” button in the bottom right corner.
Can I access the organizer at the same time as my spouse?
While the program allows both taxpayer and spouse to access the organizer simultaneously, we do not recommend it. If both parties make changes, it will only retain what the last person saves.
What does the paper clip icon mean?
Certain pages of the Organizer will show a paper clip icon. These pages will allow you to directly upload Source Documents that correspond with that page.
I had a major life event (marriage, birth of child, sale of a home), where should I put this in the organizer?
Use the “Notes to Tax Preparer” box in the bottom right corner to notify us about big changes or give additional information about an organizer page. All notes are compiled to a page at the end for your tax preparer to read.
If I type in the Notes section, will my question be seen immediately?
The notes section is not a chat feature but a limited area to provide a quick note to the CPA for the current page you are on. It will be read once we begin preparing your tax return.
What type of files can I attach?
We prefer PDF files of your tax documents, but can also accept JPEG, Word, and Excel files. If you attach a JPEG photo image, make sure it is legible.
Where can I attach files that don’t have an organizer page? Can I upload tax documents after I have finished my organizer?
After you have completed all relevant fill-in sections of the organizer, click the blue “Finish” button in the bottom right corner. You will be taken to the home screen where you can click “upload documents” to attach any additional files.
I finished uploading source documents, what is the difference between “Complete Later” and “Finish”?
When you have completed the organizer and uploaded your source documents, you will be given two options. Select “Finish” if you are confident that you have submitted all your tax documents and are ready for us to prepare your return. “Finish” will lock your organizer and you will not be able to make changes or add more files. Select “Save & Close” if you are waiting on additional documents.
What Internet Browser should I use?
For the best experience, we recommend using Google Chrome. It will also work with Safari, Firefox, as well as other browsers, but we strongly discourage using Internet Explorer while using SafeSend. SafeSend does not work well with Internet Explorer.
Can I use a mobile device or iPad?
Yes! You can use your phone to sign your engagement letter and upload documents. This will also allow you to take pictures of documents with your phone or iPad to upload documents securely.
I don’t have a scanner. What should I do?
You can use the camera on your phone or iPad to take pictures of documents and then upload them. Please be sure the documents are adequately lit and on a flat contrasting surface for best results.
I completed uploading documents but have additional files to send, what should I do?
Contact us at 972-878-2611 to have your organizer unlocked, allowing you to submit more documents.
SafeSend Returns FAQ
We understand, like any new technology, there may be some confusion. Our hope is to make working with your team at YWRD as easy and convenient as possible. Below are several frequently asked questions we believe will help.
What are the benefits to you, the client?
· You will be able to electronically view, sign, save, and print your tax documents.
· You will have access to your tax return for seven years.
· You will be able to receive estimated tax payment reminders at a schedule of your choosing.
· You can securely forward your tax documents to anyone you choose, such as a bank.
Will it work with any internet browser?
For the best experience, we recommend using Google Chrome. It will also work with Safari, Firefox, as well as other browsers, but we strongly discourage using Internet Explorer while using SafeSend. SafeSend does not work well with Internet Explorer.
Can I use my phone or tablet?
It is recommended to use a laptop or desktop rather than a tablet or phone for uploading your organizer attachments. You may complete certain tasks on your phone or tablet, however, at this time we have found it easier for most clients to use a computer.
How will I securely access the software?
Once you click on the link in your e-mail from SafeSend, you will be required to enter the last four digits of your Social Security Number. You will then request an Access Code, which will be e-mailed to you by SafeSend. Copy and paste the Access Code on the next screen within 20 minutes.
What if I can’t remember the Access Code or it expires?
You can click on any link in any e-mail from SafeSend Returns and you will be re-sent the link for a new Access Code by noreply@safesendreturns.com. It doesn’t matter how old the e-mail is.
Can I review the tax return before signing it?
You will be able to view any portion of your tax return prior to signing.
How will I verify or confirm my identity to be able to sign my personal tax return?
You will be required to answer knowledge-based authentication questions before being allowed to sign. This is an IRS requirement. If you are unable to answer the questions after three attempts, you will be given the opportunity to print your e-file forms and securely upload them to YWRD after signing.
How will my spouse and I sign a joint return?
One taxpayer at a time will go through the signing process. After the first taxpayer signs, the second will receive an e-mail from SafeSend to sign the returns.
I received a message saying that I couldn’t electronically sign my return and that I need to download the paper e-file forms. Why?
If an individual has not established a significant history in the U.S., perhaps because they are younger than 18 years of age or live outside the U.S., there will not be enough government and financial information available to construct knowledge-based authentication questions.
Will I get reminders about signing the e-file forms?
You will receive regular reminders about signing, about every seven days and possibly more often as the deadline approaches.
Part of my tax return must be printed and mailed to the taxing authority – it can’t be e-filed. How will I print it?
Paper File returns will include a separate “Paper File” tab. A consent form will pop up, stating:
“I acknowledge that it is my responsibility to print, sign, and mail all Paper File Tax Returns to the respective Tax Authority before the due date.”
Please complete the consent form and print, sign, and mail as usual.
Do I have to finish the review and signing process in one sitting?
No. You can put your return aside and come back to it at any time.
Will I get reminders about estimated payments?
During the process, you will be given the opportunity to set a reminder schedule for estimated payments. Choose the timing that works best for you.
Will I have the option to download and print my return?
Yes, you will have the opportunity to do so after you’ve signed your returns. You will always be able to download and print your returns at any time.
What is Signer Delegation?
Signer Delegation allows someone other than the signer to review a tax return, then delegate signature to the person authorized to sign the e-file authorization forms. This is most commonly used with business returns where a CFO or Controller reviews a return but the signer is a different person, such as the CEO.
Can I send K-1s to recipients through SafeSend?
After you sign the return, you will be given the opportunity to either securely e-mail the recipients directly once you’ve edited their details, or you can download and print the K-1s to mail yourself.
Can I send my tax return to my bank?
You are given the opportunity to forward your return or portions of it to anyone you choose. To prevent errors in e-mail addresses, the recipient will need to verify their identity.
If I need a copy of my return in a couple of years, how can I access it?
Your tax return will be available through SafeSend for seven years. You can click on any link in any e-mail from SafeSend Returns. It doesn’t matter how old the e-mail is. You will receive a link with an Access Code from noreply@safesendreturns.com. You can proceed to download an electronic copy of your return.
